Client Automations

Client Automations

Manual follow-ups fall through the cracks. creavio's client automations let you set up triggers that fire automatically — so the right action happens at the right time without you remembering to do it.

How Automations Work

An automation has two parts: a trigger (what starts it) and an action (what happens). When the trigger condition is met, creavio executes the action immediately or after a delay you specify.

Available Triggers

  • Client created — fires when you add a new client to your CRM
  • Client updated — fires when specific fields change (status, tags, etc.)
  • Invoice paid — fires when a client's invoice is marked as paid
  • Contract signed — fires when a client signs their contract
  • Session date approaching — fires X days before a scheduled session
  • Gallery delivered — fires when you publish a collection for the client

Available Actions

  1. Send email — send a templated email to the client
  2. Create task — add a to-do item to your task list
  3. Update client field — change the client's status, tag, or custom field
  4. Send questionnaire — deliver a pre-session questionnaire automatically
  5. Add to workflow — move the client into a specific workflow stage

Building Your First Automation

Go to CRM → Automations → New Automation. Select a trigger from the list, configure any conditions, then add one or more actions. For example:

Trigger: Contract signed → Action 1: Send welcome email → Action 2: Create task "Send session prep guide in 3 days" → Action 3: Update status to "Booked"

Delays Between Actions

Add delays between actions to space things out naturally. You don't want a client receiving a welcome email, a questionnaire, and a prep guide all in the same minute. Set delays of hours or days so communication feels intentional rather than robotic.

Testing Automations

Use the Test button to simulate the automation with a sample client. creavio shows you exactly what would happen without actually sending emails or creating tasks. Always test before activating a new automation.

Client automations are available on the Pro plan and above.
