Album Design & Delivery
Albums are one of the highest-value products you can offer, but the design-and-approval process can drag on for months if not managed properly. This workflow keeps album projects moving from selection to delivery.
Step 1: Image Selection
After delivering the main gallery, prompt the client to select their album images. You have two approaches:
- Client selects: Enable Favorites on the gallery and ask the client to mark their top choices (typically 40-80 images for a 30-page album). Set a deadline.
- Photographer selects: Curate the album images yourself based on the session highlights. Send the selection to the client for approval.
Use creavio's task system to set a deadline for image selection. If the client hasn't selected by the deadline, an automated reminder emails them.
Step 2: Design
Once images are selected, create a task: "Design Album — [Client Name]." Design the album in your preferred software (Fundy, SmartAlbums, or your lab's design tool). Export a low-res PDF proof.
Step 3: Client Review
- Upload the proof PDF to the client's profile in creavio under Files.
- Send an email with the proof link and instructions: "Please review your album proof and let me know if you'd like any changes."
- Give the client 7 days to review. Set a task reminder.
- Allow up to 2 rounds of revisions in your contract terms.
Step 4: Final Approval
Once the client approves the design, send a final confirmation email that states the design is now locked. This prevents last-minute changes after you've placed the order with the lab.
Step 5: Ordering and Fulfillment
- Place the album order with your print lab.
- Update the client's task to "Album Ordered — [Lab Name]."
- Most labs deliver in 2-4 weeks. Set a follow-up task for the expected delivery date.
- When the album arrives, inspect it for quality before delivering to the client.
Step 6: Delivery
Ship the album or schedule an in-person reveal. An in-person delivery is a powerful experience — seeing and touching a finished album is emotional and often leads to additional orders (parent albums, duplicates, prints).
After delivery, send a thank-you email and a review request. Albums are the perfect moment to ask — the client is holding something beautiful you created for them.
