Corporate Headshot Day

Corporate Headshot Day

Corporate headshot projects involve photographing multiple employees in a single day. The logistics are different from individual client sessions — you're coordinating with an office manager, scheduling dozens of people, and delivering consistent results across the board.

Initial Setup

  1. Create a session type called "Corporate Headshot" with a 10-15 minute duration per person.
  2. Set buffer time to 2-3 minutes — just enough to swap subjects and adjust settings.
  3. Work with the company contact to determine the date, location (on-site or studio), and number of employees.
  4. Send a corporate headshot contract with pricing (per-person or flat day rate).

Scheduling Employees

Create a scheduling link for the headshot day and share it with the office manager. They distribute the link to employees, who each pick their own time slot. This eliminates the back-and-forth of coordinating schedules through one point of contact.

Alternatively, if the company prefers to assign times, create a simple schedule and enter each person manually in creavio's calendar.

Pre-Shoot Communication

Send a prep email to all participants (via bulk email to the tagged group) that includes:

  • What to wear and what to avoid (patterns, logos, wrinkled clothing)
  • Grooming tips (hair, makeup, glasses glare)
  • Their specific time slot
  • Location and parking instructions

On-Site Workflow

  • Set up a check-in sheet (print your creavio day view) so each person checks in upon arrival.
  • Photograph each subject using a consistent setup — same backdrop, lighting, and lens.
  • Take 5-10 frames per person. Review briefly on the back of the camera.
  • Note any special requests (preferred side, glasses on/off) in creavio's client notes.

Editing and Delivery

  1. Edit all headshots with a consistent style — same crop ratio, color treatment, and background cleanup.
  2. Create individual galleries in creavio for each employee, or a single gallery with sub-folders.
  3. Deliver galleries via email. Include download instructions and any usage rights information.
  4. Send the final invoice to the company contact with the total based on the number of employees photographed.

Follow-Up

Corporate headshot days often lead to repeat business. Tag the company as "Corporate Client" and set a reminder to reach out in 12 months for updated headshots. New hires happen year-round — offer a standing rate for individual sessions between annual headshot days.
