Second Shooter Management
Bringing on a second shooter for weddings and events means more coverage, more angles, and a better final product. But it also means more coordination. This workflow keeps second shooter management professional and organized.
Building Your Second Shooter Roster
In creavio, create a tag called "Second Shooter" and add your trusted photographers as contacts. On each profile, note their:
- Rates (hourly or day rate)
- Equipment they shoot with
- Specialties (ceremony, reception, details, candids)
- Availability patterns (weekends only, full-time available)
Assigning a Second Shooter
When a wedding or event requires a second shooter:
- Check availability by reaching out to your roster (use a saved message template for consistency).
- Once confirmed, add the second shooter to the session in creavio using the Team assignment feature.
- Send them a second shooter contract that covers: deliverables (number of images), deadline for delivering files, usage rights, social media policy, and payment terms.
Pre-Event Coordination
One week before the event, send a shot list and timeline to the second shooter. Include:
- Their specific assignments (e.g., "Cover the groom's prep while I'm with the bride")
- Key moments they're responsible for
- Location addresses and parking details
- Your phone number for day-of communication
- Dress code
Day-Of Communication
Use a shared messaging app or group text for real-time coordination. At the end of the event, confirm the second shooter's SD cards or file transfer plan. Set a clear deadline for delivering their images to you (typically 48-72 hours).
Receiving and Processing Files
- When the second shooter delivers their files, review them for quality and consistency.
- Cull and edit their images alongside yours to ensure a cohesive look.
- Credit them in your internal notes but not in the client-facing gallery (per standard practice, unless your contract says otherwise).
Payment
After receiving their files and confirming the deliverables, process payment. Use creavio's expense tracking to log the second shooter payment against the wedding project. This keeps your profit margins accurate for each event.
After the event, note how the second shooter performed on their contact profile. This builds a reliable roster over time and helps you make confident assignments for future events.
