Senior Portrait Season Workflow

Senior Portrait Season Workflow

Senior portrait season is a sprint. From late spring through early fall, you'll handle a high volume of sessions with clients who expect a personalized, Instagram-worthy experience. The right workflow lets you deliver that experience at scale without burning out.

Pre-Season Preparation

Start marketing senior sessions in January. Today's seniors book early, often influenced by seeing friends' sessions on social media. Create a dedicated senior booking page in creavio with portfolio images, pricing packages, and a style questionnaire.

Senior Questionnaire

Use creavio's custom forms to learn about each senior before their session:

  • Hobbies, sports, and extracurriculars to incorporate
  • Outfit count and style preferences
  • Favorite locations or a willingness to explore new ones
  • Whether they want friends or pets included
  • Their Instagram handle (essential for tagging and cross-promotion)

Session Structure

Senior sessions typically run 60 to 90 minutes with 2 to 4 outfit changes. Build this as a session type in creavio with appropriate time blocking. Schedule no more than two senior sessions per day to avoid creative fatigue. Book morning and golden hour slots for the best light.

Wardrobe and Location Planning

Send a wardrobe guide via creavio's automated emails one week before the session. Include tips on what colors photograph well, how many outfits to bring, and what to avoid. Create a location lookbook in your client portal showing your favorite senior portrait spots with sample images.

Gallery Delivery and Sales

Deliver galleries within two weeks of the session. Seniors share favorites immediately on social media, so faster delivery means more organic exposure for your business. Include a watermarked social media set alongside the full-resolution gallery. Use creavio's print store to offer graduation announcements, wallet prints, and canvas wraps.

Yearbook Submission

Many schools have specific requirements for yearbook portraits — background color, crop ratio, and file format. Add a note in your creavio workflow to ask about yearbook requirements during booking. Deliver the yearbook-formatted image separately with clear submission instructions for the family.
