Profit & Loss Reports

Profit & Loss Reports

A Profit & Loss (P&L) report is the clearest snapshot of your business health. It shows total revenue, total expenses, and the difference — your net profit — over any time period you choose.

Generating a P&L Report

  1. Go to Money > Reports > Profit & Loss
  2. Select the time period: this month, this quarter, this year, or a custom range
  3. Click Generate Report

Reading Your P&L

The report is organized into three sections:

  • Revenue — all income from invoices, print sales, and other sources, broken down by category
  • Expenses — all costs organized by category (gear, travel, software, marketing, etc.)
  • Net Profit — revenue minus expenses, shown as both a dollar amount and a percentage

Comparing Periods

Use the Compare toggle to view two periods side by side. This is invaluable for spotting trends:

  • Compare this quarter to last quarter
  • Compare this year to last year
  • Identify which months are strongest and weakest

Exporting Your P&L

Click Export to download your report as a PDF or CSV. The PDF version is formatted for easy sharing with your accountant. The CSV version is ideal for importing into spreadsheet tools for further analysis.

Key Metrics to Watch

  • Gross profit margin — revenue minus direct costs (like second shooters or print costs)
  • Net profit margin — what's left after all expenses; healthy creative businesses target 30-50%
  • Expense categories trending up — catch cost creep before it eats your margin
  • Revenue concentration — are you too dependent on one service or client?

Review your P&L monthly at minimum. It takes two minutes and keeps you in control of your business finances.
