Team Roles and Permissions
As your business grows, you add people. A second shooter. An editor. A bookkeeper. They each need access to different parts of creavio without seeing everything. Roles make this possible.
The 5 Roles
Owner
Full access to everything. Billing, settings, data export, team management, and all features. Only one Owner per account. This is you.
Admin
Almost everything the Owner can do, except:
- Cannot change billing or subscription
- Cannot delete the account
- Cannot remove the Owner
Best for: a studio manager or business partner who runs day-to-day operations.
Photographer
Access to:
- Calendar and bookings (view and manage their own)
- Client profiles (view all, edit assigned)
- Media library (upload and manage)
- Collections (create and manage their own)
Cannot access: billing, financial data, account settings, team management.
Best for: second shooters or associate photographers on your team.
Assistant
Access to:
- Client profiles (view all, add notes)
- Calendar (view all)
- Communication (send emails, manage inbox)
- Forms (view submissions)
Cannot access: media library uploads, financial data, collections, website builder, settings.
Best for: virtual assistants or studio coordinators who handle client communication.
Accountant
Access to:
- Money section (invoices, expenses, transactions, tax center)
- Client profiles (view only — for invoice context)
- Reports and exports
Cannot access: media, collections, website, bookings, communication, settings.
Best for: bookkeeper, accountant, or financial advisor who needs to see your numbers.
Inviting Team Members
- Go to Settings > Team
- Click + Invite Member
- Enter their email and select a role
- Click Send Invite
They receive an email with a link to create their account. Once they accept, they appear in your team list with their assigned role.
Changing Roles
Go to Settings > Team, click any team member, and change their role from the dropdown. Changes take effect immediately. Their next page load will reflect the new permissions.
Removing Team Members
Click the team member and select Remove. Their access is revoked instantly. Any content they created (notes, uploaded media, etc.) stays in your account.
Team Seats and Pricing
The Studio plan and above include team seats. Check your plan details in billing management for the number of seats included and the cost of additional seats.
Best Practices
- Start restrictive, open up as needed. Give the minimum role required and upgrade if they need more access.
- Use the Accountant role for your bookkeeper. They do not need to see client photos or your booking calendar.
- Review team access quarterly. Remove people who are no longer active.
