Email Templates
Stop rewriting the same emails. creavio's email templates let you create polished, reusable messages for every stage of your client workflow — from inquiry responses to final gallery deliveries.
Creating a Template
Navigate to Communication > Templates and click New Template. The template editor includes:
- Template Name — an internal label for your reference (clients won't see this)
- Subject Line — supports dynamic variables like {{client_name}} and {{session_date}}
- Body — rich text editor with formatting, images, and variables
- Category — organize templates by type: Inquiry, Booking, Follow-up, Delivery, etc.
Dynamic Variables
Templates become powerful with personalization. Insert variables that auto-fill when you send:
- {{client_name}} — the client's first name
- {{session_date}} — their booked session date
- {{session_type}} — the type of session (portrait, wedding, etc.)
- {{gallery_link}} — direct link to their gallery
- {{invoice_link}} — link to their outstanding invoice
- {{your_name}} — your name from your profile
Using Templates
When composing a new email or client message, click the Templates icon in the toolbar. Select a template and it populates the subject and body instantly. Edit anything before sending — templates are a starting point, not a straitjacket.
Starter Templates
creavio includes a set of starter templates to get you going:
- Inquiry Response — thank the client and share your availability
- Booking Confirmation — confirm details, share a prep guide
- Session Reminder — sent 48 hours before the session
- Gallery Delivery — share the gallery link with excitement
- Follow-Up — check in after delivery, ask for a review
Customize these or build your own from scratch. Your templates, your voice.
Tips for Photographers
- Write templates in your natural tone — clients can tell when an email feels robotic
- Keep inquiry responses under 150 words — answer the key questions and make booking easy
- Pair templates with automations to send them automatically at the right time
