Follow-Up Email Sequences

Follow-Up Email Sequences

The session is over. The gallery is delivered. Most photographers stop here. The ones who build thriving businesses do not. Follow-up sequences turn one-time clients into repeat customers, review sources, and referral engines.

The Post-Delivery Sequence

Build this automation in Communication > Automations. Trigger: "Gallery Delivered" (when you send the collection link).

  1. Day 1 — Thank You: A personal thank-you email referencing their session. Mention a specific moment you enjoyed. This is not generic. It feels human.
  2. Day 5 — Social Sharing Reminder: "Have you shared your gallery with family yet? Here is the share link." Include their gallery link and social-media-ready download options.
  3. Day 14 — Review Request: "I would love to hear about your experience. Would you mind leaving a quick review?" Include links to your review form and Google Business Profile.
  4. Day 30 — Referral Ask: "Know someone who could use a photographer? I am offering $50 off for referrals this month." Include a referral link or code.
  5. Day 60 — Print Reminder: "Your images deserve to be on your wall, not just on a screen. Check out the print store." Link to their gallery with the print store enabled.

Anniversary and Milestone Sequences

For wedding clients, set a recurring annual reminder:

  • 1 year: "Happy anniversary! Here is a favorite from your wedding day." Attach an image. This is the highest-engagement email you will ever send.
  • 2+ years: "Another year! Are you ready for a family session now that your family is growing?" Transition from wedding photographer to family photographer.

For family portrait clients:

  • 11 months after session: "It has been almost a year since your last family session. Ready to update your portraits?" Time it so they book before the anniversary.

Building the Automation

  1. Go to Communication > Automations and click New Automation
  2. Set the trigger (Gallery Delivered, Invoice Paid, or a custom date trigger)
  3. Add email steps with delays between them
  4. Use "Wait" steps to pause the sequence at the right intervals
  5. Add conditions: "If client has NOT left a review, send review reminder. If they have, skip to the referral step."

Email Template Tips

  • Keep it short. 3-5 sentences per email. Nobody reads novels from their photographer.
  • Be personal. Use their name. Reference their session. If possible, include an image.
  • One ask per email. Do not combine a review request with a print sale pitch. Focus.
  • No hard selling. The referral and print emails should feel helpful, not pushy.

Measuring Effectiveness

Track these metrics in your automation analytics:

  • Open rate: Should be 40-60% for post-session emails (higher than marketing because the client knows you)
  • Click rate: 10-20% is strong for review and referral links
  • Reviews collected: A good sequence generates reviews from 30-40% of clients
  • Referral bookings: Track with CRM tags. Even 5-10% referral rate significantly impacts your business.

When to Stop

Five to six emails over 60 days is the sweet spot. Beyond that, you risk annoying clients who are done engaging. If someone does not respond to the review request, do not send three more. Respect the silence.
