Recurring Client Workflows
Your best source of revenue is clients who already know and trust you. Recurring workflows keep those relationships active without manual effort. Set them up once and creavio handles the outreach on schedule.
Annual Portrait Reminders
Family portrait clients should book annually. Children grow. Families change. Set an automation triggered by the session date that fires 11 months later:
- Month 11: "It is almost time for your annual family session! Spots are filling for [season]. Book early for the best availability."
- Month 11.5: Follow-up if no response. "Just checking in — did you see my note about scheduling your family session?"
- Month 12: Final touch. "Last call for [season] family sessions. Here is my booking link."
Include a direct booking link in every email. Remove friction between "I should book" and "I just booked."
Corporate Retainer Check-Ins
For corporate clients on retainers, build a monthly or quarterly automation:
- Monthly: Usage summary email. "You used 3 of your 4 sessions this month. Here is a link to schedule your remaining session."
- Quarterly: Review email. "Here is your Q1 summary. Let's schedule a 15-minute call to discuss any adjustments for Q2."
- 60 days before renewal: Renewal reminder. "Your retainer agreement renews on [date]. Let me know if you would like to discuss any changes."
Seasonal Rebooking
If you offer seasonal specialties (holiday minis, spring family sessions, fall foliage), automate outreach to past clients:
- Tag clients by session type in your CRM ("Fall Minis 2025," "Holiday Cards")
- Create an automation triggered by a specific date (e.g., August 1 for fall mini announcements)
- Send to all clients with the matching tag
- Include early-bird pricing or priority booking for returning clients
Past mini session clients are your highest-conversion audience. They already know the experience. They just need a reminder and a link.
VIP Client Treatment
Create a segment of high-value clients (top 20% by revenue). Build a separate workflow:
- Birthday or anniversary acknowledgments
- First access to new offerings
- Exclusive pricing on new session types
- Personal check-ins from you (not automated but triggered by a reminder)
These clients drive your business through direct bookings and referrals. Treat them accordingly.
Lapsed Client Re-Engagement
Clients who have not booked in 18+ months are at risk of churning. Create a segment for lapsed clients and send a re-engagement sequence:
- Email 1: "It has been a while! I have some new work I am excited about." Include recent portfolio images.
- Email 2 (2 weeks later): "I am running a limited-time returning client offer. 15% off any session booked this month."
Two emails. If they do not respond, remove them from active marketing. Do not keep emailing people who have moved on.
Tracking Recurring Revenue
In Money > Reports, filter revenue by returning vs. new clients. Healthy photography businesses see 30-50% of revenue from returning clients. If yours is below 20%, your follow-up and retention workflows need work.
