Zapier Integration Guide

Connecting creavio to Zapier

Zapier connects creavio to over 5,000 other apps. When something happens in creavio (a new client, a paid invoice, a completed booking), Zapier can automatically trigger an action in another app. No coding required.

How It Works

Zapier uses a trigger-action model:

  • Trigger: Something happens in creavio (e.g., "New Client Added")
  • Action: Zapier does something in another app (e.g., "Add Row to Google Sheet")

A "Zap" is one trigger connected to one or more actions. You can chain multiple actions together in a single Zap.

Setting Up the Connection

Step 1: Get Your API Key

In creavio, go to Settings > API Keys. Click Generate New Key. Name it "Zapier" so you can identify it later. Copy the key.

Step 2: Connect in Zapier

  1. Log into zapier.com
  2. Click Create Zap
  3. Search for "creavio" in the app directory
  4. Select creavio as your trigger app
  5. Paste your API key when prompted
  6. Test the connection

Available Triggers

creavio sends these events to Zapier:

  • New Client: Fires when a new client record is created
  • New Booking: Fires when a session is booked
  • Invoice Paid: Fires when an invoice is fully paid
  • Contract Signed: Fires when a client signs a contract
  • Gallery Delivered: Fires when a Collection is published and shared
  • Form Submitted: Fires when a client submits a questionnaire or contact form

Available Actions

Zapier can push data into creavio:

  • Create Client: Add a new client record from an external source
  • Create Invoice: Generate an invoice from external data
  • Add Note: Append a note to an existing client record
  • Update Client: Modify client information

Popular Recipes for Photographers

New Client to Google Sheet

Track every new client in a Google Sheet for easy reporting. Trigger: New Client in creavio. Action: Add Row to Google Sheets. Map fields: name, email, phone, session type, date.

Invoice Paid to Accounting

When a creavio invoice is paid, create a corresponding entry in QuickBooks or Wave. Keeps your accounting in sync without manual data entry.

New Booking to Slack

Get a Slack notification in your studio channel every time a new session is booked. Useful for multi-photographer studios where the team needs to see incoming bookings in real time.

Form Submission to Email

When a contact form is submitted on your creavio website, send yourself a formatted email with all the details. Backup notification in case you miss the in-app alert.

Gallery Delivered to Follow-Up

When you publish a gallery, trigger a delayed email sequence in your email marketing tool. Day 1: check-in. Day 7: review request. Day 30: print offer.

Advanced: Multi-Step Zaps

Chain multiple actions together. Example: when an invoice is paid, (1) add a row to Google Sheets, (2) send a Slack notification, (3) create a task in Asana to prepare the gallery. Multi-step Zaps require a Zapier paid plan.

Troubleshooting

Zap not firing: Check that your API key is active in creavio Settings. Zapier also has a polling interval (5-15 minutes on free plans). Events are not instant.

Missing data: Make sure the trigger event actually contains the fields you are trying to map. Test the trigger in Zapier to see the available data.

Rate limits: creavio's API allows 100 requests per minute per key. For most Zapier workflows, this is more than enough.
