creavio for Photography Studios

Running a Multi-Photographer Studio on creavio

A photography studio is not a freelance business with extra people. It is an operation. Multiple photographers, shared clients, overlapping schedules, and a brand that needs to feel consistent no matter who is behind the camera.

creavio's team features were built for exactly this.

Team Setup

Adding Team Members

Go to Settings > Team to invite photographers and staff. Each team member gets their own login with permissions you control. Roles include:

  • Owner: Full access to everything. That is you.
  • Admin: Can manage clients, bookings, invoices, and team. Cannot change billing or delete the account.
  • Photographer: Can view assigned sessions, upload to galleries, and see client details for their bookings. Cannot access financials.
  • Editor: Can access galleries for editing and uploading. Cannot see client contact info or financials.
  • Assistant: Can view the calendar and session details. Read-only access to most features.

Assign roles based on what each person needs to do their job. The principle: minimum necessary access.

Shared Calendar

The studio calendar shows all photographers' schedules in one view. Color-coded by team member so you can see who is shooting when. When a client books through your booking page, you (or the system) assign the session to a specific photographer based on availability and specialty.

Session Assignment

Assign sessions to photographers in two ways:

  • Manual assignment: You review incoming bookings and assign them to the best-fit photographer.
  • Auto-assignment: Round-robin based on availability. creavio distributes bookings evenly across your team.

For specialized work (weddings go to your senior photographer, headshots go to your studio specialist), set up session type routing that automatically assigns based on the type of session booked.

Centralized Client Management

One CRM, Multiple Photographers

Every client belongs to the studio, not to an individual photographer. This is critical. When a photographer leaves, the client relationship stays. All session history, communication, and files remain in the studio's CRM.

Photographers can see their assigned clients and sessions. They cannot export the client list or access clients assigned to other photographers (unless granted admin permissions).

Consistent Client Experience

Your clients should get the same experience regardless of which photographer shoots them. Standardize with creavio:

  • One set of email templates used across the studio
  • One set of contract templates with the studio name (not individual photographer names)
  • One set of questionnaires per session type
  • One booking page that routes to the right photographer

Financial Oversight

Revenue Tracking by Photographer

As the studio owner, you need to know who is generating what. creavio's reporting dashboard breaks down revenue by photographer, session type, and time period. Know your top performers. Know who needs more bookings. Make staffing decisions based on data.

Payroll vs Revenue Share

Studios typically pay photographers in one of three ways:

  • Salary or hourly: Track shoots per photographer for workload balancing.
  • Commission: Percentage of each session's revenue. Use creavio's per-photographer revenue reports to calculate payouts.
  • Hybrid: Base pay plus commission on upsells or print sales.

creavio does not handle payroll directly, but the reporting gives you the numbers you need to run payroll through your accounting software.

Studio Branding

Consistent Online Presence

Your creavio website represents the studio brand. Feature all photographers with their bios and specialties on an About page. The portfolio showcases the studio's best work regardless of who shot it.

Branded Galleries

Every Collection delivered to clients carries the studio brand: logo, colors, fonts. Individual photographers do not brand galleries with their personal identity. The studio is the brand. This consistency builds recognition and trust.

Scaling Your Studio

As you grow beyond 3-4 photographers, consider:

  • A studio manager role (Admin permissions) who handles booking coordination, client communication, and scheduling
  • Standardized editing styles so output is consistent across photographers
  • Regular team reviews using creavio's reports to discuss performance, client feedback, and process improvements

A well-run studio scales the founder's vision without requiring the founder to shoot every session. creavio provides the infrastructure to make that transition possible.
