Running a Portrait Studio on creavio
Portrait and family photography is about volume, repeat business, and a client experience that keeps families coming back year after year. creavio handles the entire cycle: booking, communication, delivery, and re-engagement.
What Makes Portrait Photography Different
Unlike wedding photographers who work with each client once, portrait photographers build long-term relationships. The family that books newborn photos today should be booking holiday cards in December and back-to-school portraits in August. creavio's CRM is built for exactly this kind of recurring client relationship.
Initial Setup for Portrait Studios
Session Types
Create separate session types for each offering. Common portrait session types include:
- Family Portrait — 60 minutes, outdoor or studio
- Headshot — 30 minutes, studio only
- Senior Portrait — 90 minutes, multiple locations
- Holiday Mini — 20 minutes, themed backdrop
- Cake Smash — 45 minutes, studio with props
- Extended Family — 90 minutes, outdoor location
Each session type gets its own pricing, duration, buffer time, and questionnaire. When a client books, they see only the options relevant to their session type.
Packages and Pricing
Portrait photographers typically use one of two pricing models:
Session fee + a la carte prints: Charge a lower session fee, then sell prints and products after the session. Use creavio's invoicing to create custom orders after the viewing appointment.
All-inclusive packages: Charge a higher flat rate that includes the session and digital files. Simpler for clients. Easier to manage. Most photographers under 5 years in business use this model.
Set up your packages under Money > Packages with clear descriptions of what is included. Link each package to the appropriate session type.
The Portrait Client Workflow
Booking
Your booking page is the front door of your business. Customize it with your branding, portfolio images, and clear descriptions of each session type. Clients select their session, choose a date and time from your available slots, and submit their booking request.
For portrait work, require a session fee or retainer at booking. This eliminates no-shows. Even a $50 hold dramatically reduces cancellations.
Pre-Session Questionnaire
Send a questionnaire immediately after booking. For family portraits, ask about:
- Number of people and ages of children
- Clothing color preferences
- Location preference (if offering options)
- Any special requests or limitations
- How they heard about you
This information helps you prepare for the session and avoids surprises on shoot day.
Gallery Delivery
After editing, upload images to a Collection. For portrait clients, the proofing mode works well. Let clients favorite their top picks, then create a final gallery with just the selected images.
Set a gallery expiration of 30-60 days to create urgency around ordering prints. Mention the expiration in your delivery email. Clients who know the gallery will expire are far more likely to make decisions quickly.
Print Sales
If you sell prints, use creavio's invoicing to create custom print orders based on client selections. Add line items for each print size and product. The client pays through creavio, and you fulfill through your lab.
Building Repeat Business
Client Tags and Segments
Tag every portrait client with relevant categories: "family," "senior," "headshot," "newborn." Also tag by year: "2026-spring," "2025-holiday." This lets you send targeted marketing when the right season comes around.
Annual Reminders
Set up automation workflows that trigger based on the client's last session date. One year after a family portrait session, send a reminder that it is time to update their photos. Include a direct booking link. These automated re-engagement emails are the highest-converting marketing you can do because the client already knows and trusts you.
Mini Session Events
Holiday minis are the bread and butter of many portrait studios. Create a dedicated session type with a short duration (15-20 minutes), set up back-to-back time slots with 5-minute buffers, and open your booking page. creavio handles the scheduling so you can book 15-20 minis in a single day without spreadsheet gymnastics.
Referral Program
Portrait clients are your best marketing channel. Set up a referral system in creavio that tracks which clients send you new business. Offer a print credit or session discount for every successful referral. Track everything in the CRM so no referral goes unrecognized.
Portrait photography is a relationship business. The photographer who stays organized, delivers consistently, and follows up wins. creavio keeps you on top of every detail so you can focus on making great images.
