School Photography on creavio
School photography is a different animal. You are not booking individual clients. You are working with administrators, photographing hundreds of students in a single day, and managing a fulfillment pipeline that involves print labs, package orders, and parent communication at scale.
Working With School Administrators
Client Setup
Create the school as your primary client. The contact person is typically the office manager or principal. Add secondary contacts for anyone involved in scheduling: the PTA president, the yearbook advisor, or the front desk staff.
Store critical information in the client notes:
- School calendar and blackout dates
- Photo day preferences (fall and spring)
- Yearbook deadline
- Previous year's photographer (if switching)
- Special requirements (uniform days, background preferences)
Seasonal Contracts
Most school photography agreements cover the full academic year. Create a contract that outlines:
- Number of photo days (typically fall and spring)
- Retake day included
- Yearbook image delivery format and deadline
- Revenue share if the school takes a percentage
- Setup and breakdown time requirements
Photo Day Workflow
Pre-Day Preparation
Request a class roster from the school in advance. Use it to pre-create a shot list organized by grade and classroom. In creavio, create a session for the photo day with notes containing the full schedule: which classes come when, lunch break timing, and administrator portraits.
Batch Processing
After shooting hundreds of students, efficiency in post-processing is critical. Your editing workflow should be largely automated through Lightroom presets or similar tools. Once edited, batch upload to creavio organized by:
- Grade level — one Collection per grade or classroom
- Student name — if using barcode/QR identification systems
- Individual + class group — separate Collections for individual portraits and class photos
Parent Gallery Access
Distribution Strategy
Parents need to find their child's photos easily. Options in creavio:
- Class-based galleries: Share a link per classroom. Parents browse their child's class gallery.
- Search by name: If your Collections are organized by student, parents can search.
- Access codes: Give each family a unique code that shows only their child's images.
Work with the school to distribute gallery links through their existing communication channels: weekly newsletter, school app, or parent email list.
Package Orders
School photo packages are the primary revenue driver. Common packages:
- Basic: One 8x10, two 5x7s, eight wallets
- Standard: Two 8x10s, four 5x7s, sixteen wallets, digital download
- Premium: Everything above plus a memory mate, magnets, and digital files
Use creavio's invoicing to create package templates. Parents select their package, pay through creavio, and you fulfill through your print lab. Track orders by student and class to simplify lab submissions.
Retake Day
Retake day is standard in school photography. Create a separate session linked to the same school client. The retake list usually comes from the school based on absences and parent requests.
Make retake ordering simple. Parents who missed the original photo day should see the same packages and pricing. Update the student's gallery with retake images and notify the parent automatically.
Yearbook Delivery
The yearbook deadline is non-negotiable. Deliver images in the format the school or yearbook company requires (typically JPEG, specific dimensions, file naming by student ID). Use creavio's export features to batch-download edited images organized for yearbook submission.
Scaling School Photography
If you cover multiple schools, replicate your workflow by creating each school as a separate client with its own contract, sessions, and Collections. Tag schools by district to group related accounts. Use team members to assign different photographers to different schools on the same day.
School photography is logistics-heavy but predictable and recurring. Once your systems are set, each school year runs smoother than the last.
