Migrating From HoneyBook to creavio
You have decided to make the switch. Good call. This guide walks you through moving your client data, active projects, and templates from HoneyBook to creavio with minimal disruption to your business.
The entire process takes 1-3 hours depending on how many clients you have. No data is lost if you follow these steps.
Before You Start
What Transfers
- Client contacts: Names, emails, phone numbers, addresses
- Project notes: Exported and added to client records manually
- Invoice history: Exported as PDF records for your files
- Contract templates: Recreated using creavio templates (faster than copying)
What Does Not Transfer Automatically
- Active payment plans: Remaining payments need to be set up as new invoices in creavio
- Signed contracts: Download PDFs from HoneyBook for your records. New bookings use creavio contracts.
- Smart file templates: HoneyBook's format is proprietary. You will rebuild these as separate contracts + invoices in creavio.
- Workflow automations: Recreated in creavio's automation builder
Step-by-Step Migration
Step 1: Export Your Client List
In HoneyBook, go to Contacts and click the export button. Download the CSV file. This contains all your client names, emails, phone numbers, and basic information.
Open the CSV and clean it up:
- Remove duplicate entries
- Fix any formatting issues in phone numbers or emails
- Add a column for "source" and mark all as "HoneyBook migration"
Step 2: Import Clients Into creavio
In creavio, go to Clients > Import. Upload your cleaned CSV. Map the columns to creavio fields: name, email, phone, address. creavio's import wizard handles the field matching.
After import, spot-check 10-15 records to make sure everything mapped correctly. Pay attention to phone number formatting and any special characters in names.
Step 3: Download Your Invoice and Contract History
Go through your HoneyBook projects and download PDF copies of all signed contracts and paid invoices. Store these in a folder on your computer or cloud storage. You will not need to upload these to creavio, but you should have them for your records and tax purposes.
Step 4: Recreate Your Templates
In creavio, build your essential templates:
- Contract templates: Use creavio's photography-specific templates as a starting point. Customize with your terms.
- Invoice templates: Set up your packages and pricing under Money > Packages.
- Email templates: Recreate your most-used emails (booking confirmation, gallery delivery, follow-up) under Settings > Email Templates.
- Questionnaires: Build your intake forms using creavio's questionnaire builder.
Step 5: Set Up Automation
If you used HoneyBook workflows, rebuild them in creavio's automation engine. Most photographers only use 2-3 workflows. Start with:
- New inquiry response: Auto-send pricing guide and availability
- Post-booking sequence: Contract, invoice, questionnaire in order
- Post-delivery follow-up: Review request 3 days after gallery delivery
Step 6: Handle Active Clients
For clients with upcoming sessions booked through HoneyBook:
- Keep their HoneyBook project active until the session is complete
- Deliver their gallery through creavio (this gives them a preview of the new experience)
- Any remaining balance invoices can be sent through creavio going forward
There is no need to rush. Run both platforms in parallel for 30-60 days while your active projects wrap up. Then cancel HoneyBook.
Step 7: Update Your Links
Replace your HoneyBook booking link everywhere it appears: Instagram bio, website, email signature, Google Business Profile, Facebook page. Your creavio booking page is your new front door.
After Migration
Give yourself a week to get comfortable with creavio before your next booking rush. The interface is intuitive but different. Most photographers report feeling fully comfortable within 3-5 client interactions.
The biggest difference you will notice: everything is in one place now. No switching between HoneyBook for contracts and Pixieset for galleries and Squarespace for your website. One login. One platform.
