Switching From ShootProof to creavio

Migrating From ShootProof to creavio

ShootProof has served photographers well for years, particularly for gallery delivery and print sales. If you are moving to creavio, you are gaining a full business platform while keeping everything ShootProof did right about galleries.

What ShootProof Does That creavio Also Does

  • Gallery delivery with download controls and expiration
  • Proofing with client favorites
  • Invoicing and payment collection
  • Contracts with e-signatures
  • Contact management

What creavio Adds

  • Full CRM with pipeline, tags, and segmentation
  • Booking calendar with client self-service
  • Portfolio website with blog and SEO tools
  • Social media manager with scheduling and analytics
  • AI-powered media analysis on gallery uploads
  • Automation workflows for the entire client journey
  • Expense tracking and tax estimates

Migration Steps

Step 1: Export Your Contacts

In ShootProof, go to Studio > Contacts and export your client list. Download the CSV and clean it up. Remove any test contacts or duplicates. Import into creavio under Clients > Import.

Step 2: Download Gallery Images

ShootProof allows you to download your original uploaded images from each gallery. Go through your active galleries and download the originals. Store them locally, organized by client and session date.

For archived or expired galleries, prioritize downloading anything you do not have backed up elsewhere. Your original files on your hard drive are the master copies. ShootProof galleries are delivery copies.

Step 3: Recreate Active Galleries

Upload current client galleries to creavio Collections. Set up matching permissions: download access, password protection, expiration dates. Send updated links to active clients.

Step 4: Export Invoice Records

Download your ShootProof invoice history for tax records. Go to Studio > Financials to export payment reports. Save these as PDFs or CSVs. You will not import them into creavio, but you need them for your accounting records.

Step 5: Rebuild Templates

Recreate your most-used contract and invoice templates in creavio. ShootProof's contract builder is straightforward. creavio's is similar but includes smart fields that auto-populate client and session details.

Step 6: Set Up Your Booking Page

If you used ShootProof's booking features, set up your creavio booking page with your session types, availability, and pricing. This is likely an upgrade since creavio's booking system is more full-featured.

Print Sales Consideration

If you relied heavily on ShootProof's integrated print lab (WHCC/Bay Photo), this is the biggest workflow change. creavio handles the ordering and invoicing side, but lab fulfillment is managed separately. Use your preferred lab's ordering portal and track orders through creavio's session notes.

Direct lab integration is on creavio's roadmap. For now, the workflow is: client selects favorites in creavio proofing, you place the lab order, you track delivery in creavio.

ShootProof to creavio is a natural move for photographers who want their gallery tool to be part of something bigger. Same great delivery experience, now connected to your entire business.
