Contract Template Library

Every photography job needs a contract. Not sometimes. Every time. creavio includes pre-built templates for common photography scenarios so you are never starting from scratch.

Available Templates

Go to Money > Contracts > Templates to browse the library. Built-in templates include:

  • Wedding Photography Agreement: Covers timeline, deliverables, second shooter terms, liability, cancellation, and payment schedule
  • Portrait Session Contract: Shorter form for family, senior, maternity, and individual sessions
  • Mini Session Agreement: Brief contract for limited-session bookings with no-refund clauses
  • Commercial Photography Contract: Includes usage licensing, scope of work, and revision terms
  • Event Photography Agreement: Covers multi-hour events, team assignments, delivery timelines, and attendee release
  • Model Release: Grants you permission to use images of the subject for marketing and portfolio
  • Property Release: Permission to use images of a private property or venue
  • Second Shooter Agreement: Contractor terms for your associate photographers

Customizing Templates

Templates are starting points. Customize them for your business:

  1. Select a template and click Duplicate
  2. Edit the contract text. Use the rich text editor for formatting.
  3. Insert smart fields that auto-populate when sending:
    • {{client_name}} — The client's full name
    • {{session_date}} — The booking date
    • {{session_type}} — Wedding, portrait, etc.
    • {{total_amount}} — Invoice total
    • {{deposit_amount}} — Deposit due
    • {{photographer_name}} — Your business name
    • {{location}} — Session location
  4. Save your customized version as a new template

Smart fields save you from manually editing client details into every contract. The data pulls from the booking and client records automatically.

Sending Contracts

From any client record or booking, click Send Contract. Select your template, review the auto-populated fields, and send. The client receives an email with a link to review and sign electronically.

E-signatures in creavio are legally binding. Both parties receive a signed copy via email. The executed contract is stored permanently in the client record.

Version History

When you update a template, existing signed contracts are not affected. They retain the version that was active when signed. Only new contracts use the updated template.

This is important for legal protection. A client's signed contract reflects exactly what they agreed to, even if you have since changed your terms.

When to Update Your Templates

Review your contract templates at least once a year. Common reasons to update:

  • Pricing changes
  • New cancellation or rescheduling policies
  • Updated usage rights language
  • New deliverable types (video, albums, etc.)
  • State law changes affecting photography contracts

Consider having an attorney review your contracts annually. creavio's templates provide a strong starting point, but laws vary by state and country.

Bundling Contracts with Proposals

The most effective workflow bundles the contract into a proposal. The client selects a package, signs the contract, and pays the deposit in one seamless flow. No separate emails. No waiting for one step before sending the next. See wedding workflow for an example of this in action.
