Creating Your First Invoice

Creating Your First Invoice

Getting paid should not feel complicated. creavio invoices are professional, branded, and include online payment so clients can pay with one click. Here is how to create and send your first one.

Step 1: Start a New Invoice

  1. Go to Money > Invoices
  2. Click + New Invoice
  3. Select the client (or create a new one inline)

Step 2: Add Line Items

Click + Add Item to add services and products to the invoice:

  • Description — what you are charging for (e.g., "Full Day Wedding Photography")
  • Quantity — usually 1 for services, more for prints or albums
  • Rate — the price per unit
  • Tax — toggle if this item is taxable (configure your tax rate in Money > Settings)

Add as many line items as needed. The total updates in real-time.

If you have created packages, you can insert an entire package as a line item with one click. It pulls in all the included services.

Step 3: Configure Payment Settings

Below the line items, set:

  • Due date — when payment is expected. Net 7, Net 14, Net 30, or a specific date.
  • Deposit required — optionally require partial payment upfront. See payment plans and deposits.
  • Payment methods — credit/debit card (via Stripe), bank transfer, or manual/offline.
  • Late fee — optional automatic late fee after the due date (flat amount or percentage).

Step 4: Add Notes and Terms

Two text fields at the bottom:

  • Note to client — a personal message displayed on the invoice (e.g., "Thanks for choosing us for your wedding day!")
  • Terms and conditions — your standard payment terms, cancellation policy, or legal notes

Step 5: Preview and Send

Click Preview to see exactly what the client will see. The invoice uses your brand settings — your logo, colors, and fonts.

When you are satisfied, click Send. The client receives an email with a branded invoice and a Pay Now button. They click it, enter their card, and you get paid. That simple.

What the Client Sees

Clients access the invoice at a unique URL (e.g., yourdomain.com/pay/abc123). The page shows:

  • Your logo and brand colors
  • Invoice number and date
  • Line items with descriptions and amounts
  • Total due
  • A Stripe-powered payment form
  • Your notes and terms

They do not need to create an account or log in. One link, one payment.

After Sending

Track the invoice status in Money > Invoices:

  • Draft — not yet sent
  • Sent — delivered to client's email
  • Viewed — client opened the invoice (creavio tracks this)
  • Partially Paid — deposit received, balance outstanding
  • Paid — fully paid
  • Overdue — past the due date and not fully paid

You receive a notification when an invoice is paid. The payment is recorded in your tax center and the client's activity timeline.

Sending Reminders

For unpaid invoices, click Send Reminder to nudge the client. You can also set up automatic reminders in automations — for example, a reminder 3 days before the due date and another 1 day after.
