Contractor Payments
If you hire second shooters, editors, makeup artists, or assistants, creavio helps you track every payment and generate the records you need at tax time.
Adding a Contractor
- Go to Money > Contractors
- Click + Add Contractor
- Enter their name, email, and role (second shooter, editor, assistant, etc.)
- Add their payment rate — hourly, per-session, or per-project
- Optionally collect their W-9 information for 1099 reporting
- Click Save
Recording Payments
When you pay a contractor, record it in creavio:
- Open the contractor's profile
- Click + Record Payment
- Enter the amount, date, and payment method (Venmo, check, bank transfer, etc.)
- Link it to a specific project or session if applicable
- Add notes or attach a receipt
Contractor Dashboard
The contractors overview shows:
- Total paid to each contractor this year
- Payment history with dates and amounts
- Projects worked for each contractor
- 1099 threshold — creavio flags when a contractor approaches the $600 reporting threshold
1099 Reporting
At year end, creavio generates a summary for each contractor who received $600 or more. This data feeds directly into your tax preparation. Export the report as a CSV or PDF for your accountant.
Linking Contractors to Projects
When you assign a contractor to a project, their payment is automatically factored into your profitability analysis. This gives you an accurate picture of what each job actually costs.
Best Practices
- Record payments immediately — don't batch them
- Collect W-9s before the first payment
- Set clear payment terms upfront (net 7, net 14, etc.)
- Review contractor costs quarterly to ensure profitability
