By the end of this guide, you'll have...
A streamlined workflow where bookings automatically trigger contract sending and invoice generation — reducing manual work and ensuring nothing falls through the cracks.
What you'll need
- At least one service created with pricing
- A contract template ready to use
- Stripe connected for payments
- Invoice defaults configured in Settings
Step-by-step walkthrough
- Standardize your services — Go to Services and make sure each service has a clear name, description, duration, and price. These details flow into your invoices and contracts automatically, so accuracy here saves editing later.
- Build reusable contract templates — In Contracts → Templates, create templates for each type of work you do. Use merge fields like {{client_name}}, {{session_date}}, and {{package_price}} so contracts auto-populate with booking details.
- Configure invoice defaults — In Settings → Invoicing, set your standard payment terms (e.g., Net 14), deposit percentage, tax rate, and late fee policy. New invoices inherit these settings so you don't have to set them every time.
- Link services to contract templates — When editing a service, assign a default contract template. Now when you create a booking with that service, creavio knows which contract to use.
- Create a booking — When a new client confirms, create a booking from Bookings → New Booking. Select the client and service. creavio auto-generates the contract using the linked template and pre-fills the invoice with the service pricing.
- Review and send in batch — From the booking detail page, review the auto-generated contract and invoice. Make any one-off adjustments, then send both to the client with two clicks instead of building each from scratch.
- Let payment reminders do the follow-up — Once the invoice is sent, creavio handles payment reminders automatically. You set the schedule in Settings → Invoicing → Reminders. No more awkward "just checking in" emails.
- Monitor from your dashboard — Your dashboard shows pending contracts, unpaid invoices, and upcoming bookings at a glance. Use filters to see only items that need attention.
- Review your pipeline weekly — Check your Deals pipeline to see where prospects are stuck. If someone has a signed contract but no invoice, you know exactly where to follow up.
Pro tips
- Set deposit invoices to auto-send when a contract is signed. This captures payment while motivation is high.
- Create separate templates for mini sessions vs. full sessions. Different pricing structures need different contract language.
- Use the booking calendar view to spot scheduling conflicts before they happen.
