The complete wedding workflow
Weddings are the most complex projects most photographers handle. creavio gives you tools for every stage so nothing falls through the cracks. Here's how to run a wedding from first inquiry to final review, all inside the platform.
Stage 1: Inquiry
A potential client fills out your contact form or booking inquiry on your creavio website. Their information flows into your CRM as a new lead. You see the inquiry on your dashboard and in your pipeline.
Stage 2: Consultation and proposal
Respond with a personalized email through creavio. If they're a good fit, send a proposal with your wedding packages. The client reviews the options and selects their preferred package.
Stage 3: Booking
Once the client accepts a proposal, send a contract for e-signature and an invoice for the retainer or first payment. creavio tracks both: you can see at a glance whether the contract is signed and the deposit is paid.
Stage 4: Pre-wedding planning
Send a wedding questionnaire to gather timeline details, family groupings, must-have shots, vendor contacts, and venue information. The responses live in the client's profile for easy reference on the wedding day.
- Set reminders for yourself: final walkthrough, gear check, second shooter coordination.
- Send the client a preparation email with timing and what to expect.
Stage 5: The wedding day
Your calendar has the session blocked. All the details, the timeline, the contacts, the location, are accessible from the client's creavio profile on your phone.
Stage 6: Culling and editing
Upload your images to a collection. Use Auto-Cull to quickly identify the strongest shots and remove obvious rejects. Do your creative edit, then upload the final images.
Stage 7: Delivery
Share the collection with the client via a private link. Enable downloads for the full-resolution files. Send a styled delivery email through creavio letting them know their gallery is ready.
Stage 8: Final payment and review
If there's a remaining balance, send the final invoice. Once paid, trigger a review request so the client can share their experience. Their testimonial appears in your Review Room and on your website.
Every step is connected. The inquiry becomes a client, the client gets a booking, the booking leads to a collection, and the collection ends with a review. That's the power of running your entire workflow in one platform.
