Destination Wedding Workflow

Destination Weddings Require Destination-Grade Planning

A destination wedding multiplies every logistical challenge of regular wedding photography. You are dealing with travel, unfamiliar venues, timezone differences, equipment transport, and clients who are already stressed about planning a wedding in a place they do not live.

Your job is to make the photography side effortless for them.

Contract Additions for Destination Work

Your standard wedding contract needs additional clauses for destination work. Create a separate destination wedding contract template in creavio that includes:

  • Travel fees: Flights, hotel, meals, ground transportation. Specify whether these are billed at cost or included in a flat travel fee.
  • Travel day compensation: If you travel a full day each way, charge for those days. You cannot shoot other sessions during travel.
  • Equipment insurance: Note that your gear is insured for travel. Specify liability limits.
  • Cancellation due to travel restrictions: What happens if flights are cancelled, borders close, or natural disasters prevent travel. Define refund terms clearly.
  • Backup photographer clause: If you become unable to travel, do you provide a replacement? Detail the terms.
  • Additional days: Destination weddings often include rehearsal dinner coverage, welcome party, and day-after sessions. Price each separately.

Pre-Wedding Planning

Virtual Consultations

You probably will not visit the venue before the wedding day. Use creavio's Google Meet integration for video consultations with the couple and their planner. Request photos and floor plans of the venue. Ask the planner for a walkthrough video.

Timeline Coordination

Build the timeline in creavio's session notes with timezone awareness. If the couple is in New York and the wedding is in Mexico, make sure everyone is looking at the same time. Include:

  • Your travel itinerary (arrival date, departure date)
  • Rehearsal and welcome events schedule
  • Wedding day timeline with location addresses
  • Vendor contact list (local coordinator, DJ, florist)
  • Emergency contact numbers including the venue

Location Scouting

Research the venue online. Instagram hashtags and tagged photos show you exactly what the light looks like at different times. Google Maps and satellite view help with layout and golden-hour direction. Ask the planner to connect you with a local photographer who can share insights.

Travel Day

Always carry your camera gear as carry-on luggage. Never check it. Bring backup bodies, lenses, and cards. If a bag gets lost, you need to be able to shoot the next day with what is in your hands.

Gallery Delivery

Destination couples are usually still on their honeymoon or recovering from travel when you start editing. Send sneak peeks within 48 hours through a creavio Collection. Deliver the full gallery on your standard timeline. The gallery delivery is the same as any other wedding: publish a Collection, send the link.

Invoicing for Destination Work

Bill travel expenses separately from the photography fee. Create a creavio invoice with clear line items:

  • Photography coverage: $X
  • Travel fee (flights): $X
  • Accommodation (X nights): $X
  • Ground transportation: $X
  • Per diem (meals): $X

Collect travel expenses as part of the deposit or on a separate invoice before you book flights. Do not front travel costs with your own money.

Destination weddings are a premium offering. Price them accordingly, plan thoroughly, and deliver the kind of experience that gets you booked for the next couple's trip.
