By the end of this guide, you'll have...
A new client fully onboarded in creavio with their contact details saved, a signed contract in place, a booking confirmed, and their first invoice sent — all connected and trackable from one place.
What you'll need
- Your client's name, email, and phone number
- A contract template (create one in Contracts → Templates if you haven't)
- Your services and pricing set up
- Stripe connected for payment processing
Step-by-step walkthrough
- Add the client to your CRM — Go to Clients → Add Client. Enter their name, email, phone, and any notes about what they're looking for. Add tags like wedding or portrait to keep things organized.
- Create a deal in your pipeline — Navigate to Deals and create a new deal linked to this client. Set the deal value, expected close date, and move it to the appropriate stage. This gives you a bird's-eye view of where every prospect stands.
- Send a contract for signing — From the client's profile or from Contracts, create a new contract using your template. Customize any details specific to this shoot — date, location, deliverables, pricing. Send it for e-signature with one click.
- Wait for the signature — Your client receives an email with a link to review and sign the contract. You'll get notified the moment they sign. The signed copy is automatically stored in their client profile.
- Create a booking — Once the contract is signed, go to Bookings → New Booking. Select the client, choose the service, pick the date and time. The booking appears on your calendar and the client receives a confirmation email.
- Generate the invoice — From the booking or the client profile, create an invoice. creavio pre-fills the service details and pricing. Add a deposit requirement if needed, set payment terms, and send it.
- Track the payment — Your client pays online via the invoice link. creavio updates the invoice status automatically and records the payment in your financial dashboard. If they don't pay on time, automated reminders kick in.
- Confirm everything — Check the client's profile to verify: contract signed, booking confirmed, invoice paid (or deposit received). Everything should be green across the board.
Pro tips
- Create deals early in your pipeline, even before a contract is sent. This helps you track your conversion rate from inquiry to booking.
- Use the client notes field to record details from your initial consultation — preferred locations, style preferences, special requests.
- Send the contract and invoice together when possible. Clients are most motivated to pay right after they commit.
