Data Export and GDPR
Your data belongs to you. If you ever want to leave creavio, switch platforms, or just have a local backup, you can export everything. And if you serve clients in the EU, you need to know how creavio handles GDPR.
Exporting Your Data
Go to Settings > Security > Data Export. You can export:
Client Data (CSV)
- All client records: name, email, phone, tags, source, pipeline stage, notes
- Communication history: emails sent with dates and statuses
- Form submissions
Financial Data (CSV)
- All invoices: client, amounts, items, status, payment dates
- All expenses: amounts, categories, dates, vendors
- Transaction history
Website Content (HTML)
- All pages with content
- Blog posts
- Form configurations
Media Metadata (JSON)
- File names, upload dates, tags, folders
- AI analysis results
- Alt text and descriptions
Media Files
Photos and videos are downloaded directly from the media library or collections. Use the bulk download option to get files in batches. These are not included in the metadata export because of file size.
How to Export
- Select which data types to export
- Click Generate Export
- creavio prepares the export in the background (large accounts may take several minutes)
- You receive an email with a download link when it is ready
- The download link is valid for 7 days
GDPR Compliance
If you photograph clients in the European Union, GDPR applies to you. Here is how creavio supports compliance:
Data Processing
creavio acts as a data processor on your behalf. You are the data controller — you decide what client data to collect and how to use it. creavio processes it according to your instructions.
Client Data Requests
Under GDPR, clients can request:
- Access — what data you hold about them. Export their client profile from the CRM.
- Rectification — correct inaccurate data. Edit their client profile.
- Erasure ("Right to be forgotten") — delete their data. Go to the client profile, click Delete Client, and confirm. This removes their record, communication history, and form submissions. Gallery images are not deleted automatically — handle those separately.
- Portability — export their data in a standard format. Export their client record as CSV.
Consent
If you collect data through forms, include a consent checkbox: "I agree to the storage of my data as described in the privacy policy." Add this as a checkbox field in your forms.
Privacy Policy
Create a privacy policy page on your website explaining what data you collect, why, and how clients can request changes or deletion. This is a legal requirement if you serve EU clients.
Account Deletion
To delete your entire creavio account:
- Go to Settings > Account > Delete Account
- Read the warnings — this is permanent
- Enter your password to confirm
- Your account enters a 30-day grace period. During this time, you can cancel the deletion by logging back in.
- After 30 days, all data is permanently deleted: clients, invoices, media, website, everything.
Before deleting: Export all your data first. There is no recovery after the 30-day period.
