Calendar Integrations

Calendar Integrations

If your photography bookings live in creavio but your personal life lives in Google Calendar, you need them talking to each other. Otherwise you will double-book a wedding over your anniversary dinner.

Supported Calendars

  • Google Calendar — full two-way sync
  • Apple Calendar (iCloud) — one-way push from creavio via CalDAV
  • Microsoft Outlook / Office 365 — full two-way sync

Connecting Google Calendar

  1. Go to Bookings > Integrations
  2. Click Connect Google Calendar
  3. Sign in with your Google account and grant calendar access
  4. Choose which calendar to sync with (you may have multiple)
  5. Click Save

Two-way sync means:

  • creavio bookings appear on your Google Calendar automatically
  • Google Calendar events block availability on your creavio booking page

If you have a dentist appointment on Tuesday at 2pm in Google Calendar, that time slot is automatically unavailable for client bookings. No manual blocking needed.

Connecting Outlook / Office 365

  1. Go to Bookings > Integrations
  2. Click Connect Outlook
  3. Sign in with your Microsoft account
  4. Select the calendar to sync
  5. Click Save

Same two-way sync as Google. Events from Outlook block creavio availability and creavio bookings appear in Outlook.

Connecting Apple Calendar

Apple Calendar uses CalDAV. creavio pushes booking events to your iCloud calendar:

  1. Go to Bookings > Integrations
  2. Click Connect Apple Calendar
  3. Enter your iCloud email and an app-specific password (not your regular Apple ID password — generate one at appleid.apple.com under Security)
  4. Select the calendar
  5. Click Save

Apple Calendar sync is one-way: creavio bookings push to Apple Calendar. Apple Calendar events do not block creavio availability. If you need two-way sync, use Google Calendar as your primary and subscribe to it from Apple Calendar.

What Synced Events Look Like

creavio creates calendar events with:

  • Title: Session type + client name (e.g., "Portrait Session — Sarah Johnson")
  • Time: Session start and end time including buffer
  • Location: The session location from the booking
  • Description: Client email, phone number, and a link to the booking in creavio

Conflict Detection

When a client tries to book a time that conflicts with an external calendar event, creavio shows that slot as unavailable. This check happens in real-time when the client is browsing your booking page.

For two-way sync calendars (Google, Outlook), the check is near-instant. Calendar changes typically sync within 1–5 minutes.

Multiple Calendars

You can connect multiple external calendars. All of them feed into your availability calculation. This is useful if you have:

  • A personal Google Calendar
  • A shared family calendar
  • A second job or side project calendar

Any event on any connected calendar blocks the corresponding time on your booking page.

Disconnecting a Calendar

Go to Bookings > Integrations, click the connected calendar, and click Disconnect. Existing events that were synced remain on both sides — they are not deleted. Only future syncing stops.
