Online Scheduling Links

Online Scheduling Links

Scheduling links eliminate the back-and-forth of finding a time that works. Share a link, the client picks a slot from your real-time availability, and the booking is made. No phone calls, no email chains.

Creating a Scheduling Link

  1. Go to Bookings > Scheduling Links and click New Link.
  2. Select the session type this link is for (e.g., Family Portrait, Headshot, Wedding Consultation).
  3. Set the available days and times. You can use your default availability or create custom hours for this specific link.
  4. Set buffer time between appointments (e.g., 30 minutes between sessions for travel or setup).
  5. Choose how far in advance clients can book (e.g., no sooner than 48 hours, no further than 90 days).
  6. Click Generate Link.

Sharing Your Link

Each scheduling link has a unique URL you can share anywhere:

  • Email: Include it in your inquiry response template — "Pick a time that works for you: [link]"
  • Social media: Add it to your Instagram bio or Facebook page.
  • Website: Embed it as a button on your contact page.
  • Text message: Send it via SMS for quick mobile booking.

Calendar Integration

Scheduling links pull your real-time availability from your connected calendar (Google Calendar, Apple Calendar). If you block off a Saturday morning for a wedding, those hours automatically disappear from your scheduling links. No double bookings.

Intake Form

Attach a short intake form to your scheduling link so you collect essential information at the time of booking. Keep it brief — name, email, phone, session location preference, and any special requests. Long forms reduce conversion rates.

Link Expiration

Set an optional expiration date on scheduling links. This is useful for time-sensitive promotions — create a link for "Holiday Mini Sessions" that expires on December 1st. After expiration, the link shows a friendly "no longer available" message.

Multiple Links

Create as many scheduling links as you need. Most photographers have one per session type, plus a general consultation link. Manage them all from Bookings > Scheduling Links where you can see click counts and booking conversion rates for each link.
