Client Notes & Reminders

The best client experience comes from remembering the details. Their dog's name, their color preferences, that they hate posed photos. creavio's notes and reminders system helps you capture these details and act on them at the right time.

Adding Notes

Open any client's profile and click Add Note. Type your note and save. Notes appear in the client's activity timeline alongside emails, payments, and other events. Every note is timestamped and attributed to you.

What to Note

Capture anything that will make the client's experience better:

Personal details — children's names, anniversary date, favorite locations
Session preferences — "prefers candid over posed," "hates bright sunlight"
Communication notes — "spoke on phone, prefers texting," "responds slowly to email"
Business details — "referred by Sarah M.," "interested in albums," "budget-conscious"
Post-session feedback — what they loved, what they want different next time

Pinning Important Notes

Pin critical notes to the top of the client's profile so they're visible immediately when you open the record. Pin notes about allergies, accessibility needs, or important preferences that should never be missed.

Setting Reminders

Any note can include a reminder. After typing your note, click Add Reminder and set a date and time. creavio sends you a notification when the reminder fires. Use reminders for:

Follow-up calls — "Call Thursday to discuss album options"
Check-ins — "Follow up 2 weeks after gallery delivery"
Annual touchpoints — "Send anniversary message on June 15"
Task deadlines — "Deliver edited gallery by Friday"

Recurring Reminders

For annual events like birthdays and anniversaries, set a recurring reminder. creavio will notify you every year on the specified date. This is one of the easiest ways to stay top-of-mind with past clients — a simple "Happy anniversary!" message can trigger a rebooking.

Searching Notes

All notes are searchable from the global search bar. Looking for the client who mentioned wanting holiday mini sessions? Search "holiday" and creavio surfaces every note containing that term across all clients.

Notes and reminders are available on all plans with no limits.
