Batch Processing Tips

Doing things one at a time does not scale. When you have 10 mini session galleries to deliver, 20 invoices to send, or 50 clients to tag, you need bulk operations. creavio supports batch processing across most features.

Bulk Email Sending

Go to Communication > Emails and click New Email. Instead of selecting a single recipient, use Send to Segment:

  • All clients with a specific tag
  • All clients from a date range
  • All clients in a pipeline stage
  • A custom segment you have defined

This is ideal for seasonal announcements ("Fall minis are live!"), studio updates, or holiday greetings. Each email is personalized with the client's name using smart fields.

Bulk Invoice Creation

For mini session days where you need to invoice 8-12 clients:

  1. Go to Money > Invoices
  2. Click Create Bulk
  3. Select the clients (or the bookings from a specific date)
  4. Choose the invoice template
  5. Set the amount (same for all or customized per client)
  6. Review and send all at once

Each client receives their own individual invoice. You just did not have to create them one by one.

Bulk Gallery Creation

After a mini session day, create galleries for all clients at once:

  1. Go to Collections
  2. Click Bulk Create
  3. Select the bookings from the session date
  4. creavio creates one collection per booking with the client's name and session type
  5. Upload images to each collection individually (the collections are ready and waiting)

Bulk Client Tagging

Select multiple clients from the Clients list using checkboxes, then click Bulk Actions > Add Tag. Apply any tag to all selected clients at once. Common uses:

  • Tag all attendees from an event as "Event - [Event Name]"
  • Tag all mini session clients as "Minis - Fall 2026"
  • Tag all corporate clients for a specific campaign

Bulk Client Import

Moving from another platform? Import your entire client list via CSV:

  1. Go to Clients > Import
  2. Upload your CSV file
  3. Map the columns to creavio fields (name, email, phone, tags, notes)
  4. Review the preview
  5. Click Import

creavio checks for duplicates during import and flags potential matches for your review.

Bulk Media Upload

In the Media Library or any Collection, drag and drop hundreds of images at once. creavio queues them and processes uploads in the background. You can navigate to other pages while uploads continue.

Upload progress is shown in the bottom-right corner. If your connection drops, the upload resumes where it left off.

Keyboard Shortcuts for Speed

Use keyboard shortcuts to speed up bulk work:

  • Cmd+K: Command palette for quick navigation
  • Shift+Click: Select a range of items
  • Cmd+A: Select all visible items
  • Delete/Backspace: Delete selected items (with confirmation)

Processing Limits

Bulk operations have reasonable limits to prevent accidental mass actions:

  • Bulk email: 200 recipients per send
  • Bulk invoice: 50 invoices per batch
  • Bulk upload: 500 images per upload session

If you need to exceed these, split into multiple batches. These limits protect you from accidental mass sends.
