Google Workspace and creavio
Most photographers already live in Google's ecosystem: Gmail, Google Calendar, Google Drive, Google Meet. creavio connects with Google Workspace so your photography business tools and your daily apps work together.
Google Calendar Sync
Setting Up Two-Way Sync
- Go to Settings > Integrations > Google Calendar
- Click Connect Google Account
- Sign in with your Google credentials and grant calendar permissions
- Select which Google calendar to sync (primary or a specific one)
- Choose Two-Way Sync (recommended)
- Click Save
What Syncs
From creavio to Google: Every booking, session, and blocked time appears on your Google Calendar with client name, session type, location, and a link back to creavio.
From Google to creavio: Personal events and meetings on your Google Calendar block availability on your creavio booking page. Clients cannot book over your existing commitments.
Sync Speed
Changes propagate within 5 minutes in both directions. New bookings made through your creavio booking page appear on Google Calendar almost instantly.
Google Meet for Virtual Consultations
Adding Meet Links to Bookings
For virtual consultations, set up a session type with a Google Meet link instead of a physical location:
- Create a session type called "Virtual Consultation"
- Under location, select Google Meet
- creavio automatically generates a unique Meet link for each booking
- The link is included in the booking confirmation email and calendar event
This is ideal for pre-wedding consultations, project discussions with product clients, or any meeting that does not need to be in person.
Google Drive
While creavio has its own media library and gallery system, many photographers use Google Drive for internal file organization. Use Zapier to automate connections between creavio and Google Drive:
- Automatically create a Google Drive folder when a new client is added
- Save signed contracts to a specific Drive folder
- Back up invoice PDFs to Drive monthly
Gmail
creavio sends all client communications through its own email system (powered by your custom domain or creavio's domain). Gmail is not used for sending, but you can:
- Set up Gmail forwarding so copies of creavio emails land in your Gmail inbox
- Use Gmail as your reply-to address so client responses go to your Gmail
- Configure this under Settings > Email > Reply-To Address
Multiple Google Accounts
If you have separate personal and business Google accounts, connect your business account for calendar sync and Meet. Your personal calendar can also be connected as a secondary calendar for availability blocking without sharing personal event details.
Disconnecting
To disconnect Google, go to Settings > Integrations > Google Calendar and click Disconnect. Existing calendar events are not deleted. They simply stop syncing. You can reconnect at any time.
