How to Customize Email Templates

1. Go to Email Templates

From your dashboard, navigate to Settings and then Email Templates. You'll see a list of all transactional emails that creavio sends on your behalf, including invoice notifications, booking confirmations, contract requests, and more.

2. Select a Template to Edit

Click on any template to open the editor. Each template has a specific purpose and trigger. Common templates include:

  • Invoice sent when you send an invoice to a client
  • Booking confirmed when a session is booked
  • Contract request when you send a contract for signing
  • Collection shared when you share a gallery or proofing set
  • Review request when you ask for a testimonial

3. Customize the Content

Edit the email subject line and body to match your voice. Use the available merge tags to personalize each email automatically:

  • Client name for a personal greeting
  • Business name for your brand
  • Relevant details like invoice amount, booking date, or collection title

Keep the tone professional but warm. These emails represent your brand, so make them sound like you.

4. Preview Your Email

Use the preview panel to see exactly how the email will look on both desktop and mobile devices. Toggle between views to make sure everything reads well on any screen size.

5. Send a Test

Click Send Test to deliver a sample email to your own inbox. Open it on your phone and computer to verify the formatting, links, and overall feel before your clients ever see it.

6. Save

Click Save to apply your changes. The updated template will be used for all future emails of that type.

Tips

  • Keep emails concise. Clients should understand the action needed within the first two lines.
  • Test on mobile. Most clients read emails on their phone first.
  • Consistent branding across all touchpoints builds trust and professionalism.
