Email Newsletter Integration
creavio handles transactional emails (invoices, contracts, gallery deliveries, automations). For marketing newsletters and campaigns, connect an email marketing platform. Here is how to integrate Flodesk, Mailchimp, or ConvertKit with your creavio account.
Why Use a Separate Newsletter Tool
creavio's email system is built for client communication: one-to-one messages triggered by actions. Newsletter platforms are built for one-to-many marketing:
- Beautiful designed email templates
- Subscriber list management with preferences
- Advanced segmentation and personalization
- A/B testing subject lines and content
- Detailed open/click/unsubscribe analytics
- Compliance with CAN-SPAM, GDPR, and unsubscribe laws
Use both: creavio for client workflow emails, your newsletter tool for marketing campaigns.
Connecting Flodesk
Flodesk is popular with photographers for its beautiful templates and flat-rate pricing.
- In Flodesk, go to Integrations and copy your API key
- In creavio, go to Settings > Integrations > Email Marketing
- Select Flodesk and paste your API key
- Map your creavio client fields to Flodesk subscriber fields (name, email, tags)
- Choose sync behavior: sync all clients, or only clients with a specific tag
Once connected, new clients added to creavio automatically appear in your Flodesk subscriber list. Tags sync both ways.
Connecting Mailchimp
- In Mailchimp, go to Account > Extras > API Keys and create a new key
- In creavio, go to Settings > Integrations > Email Marketing
- Select Mailchimp and paste your API key
- Select which Mailchimp audience (list) to sync with
- Map fields and set sync preferences
Connecting ConvertKit
- In ConvertKit, go to Settings > Advanced > API and copy your API key
- In creavio, go to Settings > Integrations > Email Marketing
- Select ConvertKit and paste your API key
- Map tags and sequences
What Syncs
When a new client is created in creavio (through a booking, form submission, or manual entry), their contact information syncs to your email marketing platform. Specifically:
- Name and email address
- Tags (creavio tags can map to newsletter segments)
- Session type (so you can segment wedding clients vs. portrait clients)
If a client unsubscribes from your newsletter, that status is respected. creavio will not re-add them.
Newsletter Content Ideas for Photographers
What to send in your monthly or bi-monthly newsletter:
- Recent sessions: 3-5 favorite images with a brief story about each
- Seasonal availability: "I have 3 fall weekend dates remaining. Book here."
- Educational content: "5 tips for the best family portrait experience"
- Personal updates: New gear, workshops attended, personal milestones
- Special offers: Early-bird pricing, returning client discounts, referral incentives
- Blog posts: Tease your latest blog post and link to the full article on your creavio website
Growing Your Email List
Your newsletter is only as good as your subscriber list. Grow it through:
- Website opt-in form: Add a newsletter signup form to your creavio website footer or a dedicated landing page
- Booking form: Add an "opt-in to my newsletter" checkbox on your booking inquiry form
- Lead magnets: Offer a free guide ("What to Wear for Family Photos" PDF) in exchange for email signup
- Social media: Promote your newsletter signup in your Instagram bio and stories
Frequency
For most photographers, monthly is ideal. Bi-monthly during slow seasons, weekly during peak booking season. The key is consistency. If you commit to monthly, do not skip months. An inconsistent newsletter trains subscribers to forget you.
Measuring Results
Track these metrics in your newsletter platform:
- Open rate: 30-50% is healthy for a photographer newsletter
- Click rate: 3-8% for links to your website or booking page
- Unsubscribe rate: Below 0.5% per send. Higher means your content is not matching expectations.
- Bookings from email: Tag newsletter-sourced bookings in creavio to track ROI
