Busy Season Will Expose Every Weakness
If your systems are not ready before peak season hits, you will spend the busiest months of the year scrambling instead of shooting. The photographers who thrive during October weddings and holiday mini sessions are the ones who prepared in August.
When Is Busy Season?
It depends on your specialty:
- Wedding photographers: May through October, with September-October as the peak
- Portrait photographers: September through December (back-to-school, fall, holiday)
- Newborn photographers: Often year-round, but spikes follow birth rate patterns (August-October babies)
- Real estate photographers: Spring and early summer (March-June)

Templates
Audit every template in creavio:
- Are your contract templates current with this year's dates and terms?
- Are your email templates updated with seasonal references?
- Are your questionnaires asking the right questions for your peak session types?
- Are your invoice templates reflecting current pricing?
Fix everything now. You will not have time once bookings start flooding in.
Automation
Build or update your workflows in creavio. Every repetitive task should be automated:
- Inquiry response with pricing guide
- Booking confirmation with questionnaire
- Pre-session reminders (7 days, 3 days, 1 day)
- Post-session thank you
- Gallery delivery notification
- Review request (3 days after delivery)
Test every automation end to end. Send yourself test emails. Click every link. Fix anything broken.
Booking Calendar
Open your availability for the entire peak season. Block personal days, holidays, and recovery days now. If you need Sundays off, block them before clients can book them.
30 Days Before: Capacity Planning
Know Your Limit
How many sessions can you realistically shoot per week without burning out? Factor in editing time, client communication, and administrative work. If you can shoot 4 days per week and need 1 editing day per shoot day, your max is 4 sessions per week.
Second Shooters and Assistants
If you expect to exceed capacity, hire help now. Do not wait until you are drowning. Add second shooters or assistants to your creavio team. Assign them to specific sessions. Brief them on your shooting style and client experience standards.
Outsource Editing
Consider outsourcing editing during peak season. Services like Photographer's Edit or ShootDotEdit can handle your culling and color correction. This frees you to shoot more sessions without extending your turnaround time.
During Busy Season
- Batch your editing. Edit all of Monday's sessions on Tuesday. All of Wednesday's on Thursday. Do not hop between sessions.
- Use creavio's task list to track delivery deadlines. Never miss a promised date.
- Communicate proactively. If you are running behind on editing, tell the client before they ask.
- Track your revenue weekly. Use creavio's dashboard to make sure the busy season is actually profitable, not just busy.
Busy season is where photography businesses are made. Prepare your systems, know your capacity, and show up ready. The work will come.
