Late Payment Strategies
Late payments are the most common financial problem in photography. You delivered the work. The client "forgot" to pay. Or they are "waiting on a check." Or they ghosted entirely. creavio gives you tools to prevent late payments and recover them when they happen.
Prevention: Before the Invoice Is Late
The best late payment strategy is preventing late payments in the first place:
- Require deposits: Collect 30-50% at booking. This commits the client financially from day one.
- Payment schedules: For large invoices, set milestone payments (booking, session day, delivery). Never deliver final images before final payment.
- Auto-charge: When a client saves their card during the deposit payment, you can charge the remaining balance automatically on the due date. Enable this in invoice settings.
- Clear terms: State payment due dates in the contract. "Due upon receipt" is clearer than "Net 30."
Setting Up Payment Reminders
Go to Settings > Invoicing > Reminders to configure automatic reminders:
- Before due date: Send a friendly reminder 3 days before the invoice is due. "Just a heads up that your invoice is due on [date]."
- On due date: "Your invoice of [amount] is due today."
- After due date: Send follow-ups at 3, 7, 14, and 30 days past due with increasingly direct language.
creavio sends these automatically. You do not need to manually follow up.
Late Fee Configuration
Under Settings > Invoicing > Late Fees, configure:
- Grace period: Number of days after the due date before late fees apply (typically 5-7 days)
- Fee type: Flat amount ($25-50) or percentage (1.5-2% per month)
- Auto-apply: Automatically add the late fee to the invoice balance
- Notification: Email the client when a late fee is applied
Late fees must be disclosed in your contract to be enforceable. Include late fee language in your contract templates.
Escalation Workflow
When reminders and late fees do not work, escalate systematically:
- Day 1-7 past due: Automated reminders. Friendly tone.
- Day 7-14: Personal email from you. Direct but professional. "I notice your invoice is past due. Is there an issue I can help resolve?"
- Day 14-30: Phone call. Sometimes emails get buried. A call resolves it quickly.
- Day 30-60: Formal written notice via email. Reference the contract terms. Mention that continued non-payment will result in additional action.
- Day 60+: Consider a collection agency or small claims court for significant amounts. For smaller amounts, write it off as a business loss and move on.
Gallery Withholding
Your strongest collection tool: do not deliver the gallery until the invoice is paid. Configure your Collections to require payment before download access is enabled.
In the gallery settings, enable payment gate. The client can preview images (watermarked or low-resolution) but cannot download full resolution until the linked invoice is marked paid.
Payment Plans for Struggling Clients
Sometimes a client genuinely cannot pay the full amount at once. Offering a payment plan is better than chasing a ghost:
- Edit the existing invoice to add installment dates
- Agree on a schedule (e.g., 3 monthly payments)
- Document the agreement in writing
Partial payment is always better than no payment.
Writing Off Bad Debt
If a client truly will not pay, record the invoice as written off in creavio. This removes it from your receivables and can be claimed as a bad debt deduction on your taxes. Consult your accountant for specifics.
Note the client in your CRM as "Do Not Book" so you never accept work from them again.
