Second Shooter Management
Second shooters are essential for wedding coverage. But managing their access, uploads, and payments outside your main system creates headaches. creavio handles it inside the platform.
Adding a Second Shooter as a Team Member
Go to Settings > Team and click Add Member. Enter their name and email. For second shooters, assign the Contributor role. This gives them:
- Access to assigned bookings and their details
- Upload permissions for galleries and collections tied to those bookings
- Read-only access to the shot list and timeline
- No access to financials, other clients, or account settings
They receive an invitation email and create their own login. You can add and remove second shooters for individual events without affecting your main team.
Assigning Shooters to Bookings
Open any booking and scroll to the Team section. Click Add Team Member and select your second shooter. They will see this booking in their dashboard along with:
- Date, time, and location
- Client name and session details
- Shot list and timeline
- Venue and vendor contacts (if added)
They will not see the invoice amount, your package pricing, or other bookings they are not assigned to.
Gallery Upload Permissions
When you create a Collection for the event, the assigned second shooter can upload directly to it. Their uploads are tagged with their name so you can distinguish between primary and second shooter images during culling.
To restrict uploads to a specific folder within the collection, create a subfolder labeled with their name and limit their upload permission to that folder. This keeps raw imports organized before you begin editing.
Payment Splitting
creavio does not process payments to your second shooter directly. That is between you and them as a contractor relationship. However, you can track these payments as expenses.
- Go to Money > Expenses
- Add a new expense with the category "Second Shooter"
- Link it to the specific booking
- Enter the amount paid
This deducts the second shooter cost from your profit calculation for that event. Your annual reports will show accurate per-event profitability.
Contracts with Second Shooters
You should have a written agreement with every second shooter. Use creavio's contract templates to create a second shooter agreement covering:
- Payment amount and timing
- Image delivery expectations and deadlines
- Usage rights (can they use images in their own portfolio?)
- Backup and equipment requirements
- Dress code and conduct expectations
Send the contract through creavio for e-signature. It is stored in the booking record alongside the client contract.
Removing Access After the Event
After the second shooter delivers their images and you have processed final payment, you can remove them from the booking. Their uploaded images remain in the collection. Go to the booking, click the three-dot menu next to their name, and select Remove from Booking.
If you work with the same second shooter regularly, keep them as a team member. Remove them only if the engagement is over.
Multiple Second Shooters
For large weddings with two or more additional shooters, the process is the same. Add each as a team member, assign them to the booking, and create individual upload folders. Each shooter sees only their own assigned bookings.
