By the end of this guide, you'll have...
A complete gallery delivery workflow that takes you from uploading edited images to sending a polished, branded collection link to your client — with proofing, downloads, and favorites built in.
What you'll need
- Edited images ready to upload (JPEG recommended for client delivery)
- An existing client in your CRM
- Your branding configured in Settings
Step-by-step walkthrough
- Create a new collection — Go to Collections → New Collection. Name it clearly (e.g., "Johnson Wedding — October 2026"). Select the client from your CRM so the collection is automatically linked to their profile.
- Upload your images — Drag and drop your edited images or use the file picker. creavio processes uploads in the background, so you can continue working while large batches upload. Supported formats include JPEG, PNG, and TIFF.
- Organize into sections — Group images into sections within the collection — Getting Ready, Ceremony, Reception, Portraits. Sections help clients navigate large galleries without feeling overwhelmed.
- Set your cover image — Choose the hero image that represents the collection. This is the first thing your client sees when they open the link, so pick something that sets the tone.
- Configure collection settings — Decide what clients can do: enable or disable downloads, set download resolution limits, allow favorites/proofing, add a PIN for privacy, and set an expiration date if needed.
- Add a personal message — Write a delivery message that appears when the client opens their collection. Something like: "Your gallery is ready! I loved working with you — here are my favorites from the day." This small touch elevates the experience.
- Preview the collection — Click Preview to see exactly what your client will see. Check that images load properly, sections are in order, and your branding looks right. Test on mobile too.
- Share the collection — Hit Share to generate the collection link. creavio sends a beautifully branded email to your client with the link. You can also copy the link to share manually via text or DM.
- Track client activity — Once shared, monitor views, favorites, and downloads from the collection dashboard. You'll know which images your client loves most — useful for album design or print recommendations.
- Follow up on proofing — If proofing is enabled, your client selects their favorites. You receive a notification when they're done. Use their selections to create the final album, order prints, or deliver the final set.
Pro tips
- Upload a teaser collection of 10-15 images right after the shoot to build excitement. Deliver the full gallery later.
- Use collection expiration dates to create urgency around print ordering. A 90-day window works well for most clients.
- Link collections to invoices so clients can't access their gallery until the final payment is made.
