Getting started with Tasks

Stay on top of everything

Running a creative business means juggling dozens of to-dos — editing deadlines, client follow-ups, album orders, gear maintenance, and more. The creavio task board gives you a clear, visual way to organize everything that needs to get done. Whether you prefer a simple checklist or a full kanban board, tasks in creavio keep you accountable and on schedule. This guide shows you how to create, manage, and complete tasks.

Before you begin

  • Think about the categories of work you do — editing, client communication, admin, marketing. These will become your task lists or columns.
  • Review any existing to-do lists you want to migrate into creavio.

Step-by-step

  1. Navigate to Tasks. Open the Tasks page from the All Apps directory (or press ⌘K and search for Tasks) to open the task board.
  2. Understand the layout. Tasks are organized in columns (e.g., To Do, In Progress, Done). You can customize these columns to match your workflow.
  3. Create your first task. Click Add Task in any column. Give it a clear name like "Edit Smith family session" or "Send Johnson invoice." Add a due date to keep yourself accountable.
  4. Add details. Open the task to add a description, attach it to a client from your CRM, and set a priority level. The more context you add, the easier it is to pick up where you left off.
  5. Move tasks across columns. As you make progress, drag tasks from one column to the next. Moving a task to Done marks it complete and archives it from your active view.
  6. Use due dates and priorities. Tasks with due dates show up in your dashboard and can trigger reminders. Set priority levels (low, medium, high) to focus on what matters most today.
  7. Link tasks to clients. Attach a task to a specific client to keep everything connected. When you open that client's CRM record, you'll see all related tasks in their timeline.

Pro tips

  • Do a weekly review every Monday — move stale tasks, re-prioritize, and plan your week.
  • Use Workflows to auto-create tasks when certain events happen. For example, automatically create an "Edit photos" task when a booking is completed.
  • Keep task names short and actionable. Start with a verb: "Send," "Edit," "Follow up," "Order."
