Event Photography Delivery

Event Photography Delivery

Corporate events generate a high volume of images on a tight deadline. The client wants 500+ edited photos delivered the next morning. Multiple photographers on the floor. Hundreds of attendees. This is an operations challenge as much as a creative one.

Pre-Event Setup

When you book a corporate event, capture logistics upfront:

  • Event schedule with key moments (keynote, awards, networking, etc.)
  • Shot list priorities: speakers on stage, VIP attendees, branding/signage, venue setup
  • Number of photographers needed
  • Delivery timeline (same day, next morning, 48 hours)
  • Final image count expectation
  • Usage rights scope (internal only, press release, social media, advertising)

Create a booking for the event and add all this detail to the notes and timeline.

Multi-Photographer Coordination

For events requiring 2-4 photographers, add each as a team member assigned to the booking. Create a shared shot list divided by responsibility:

  • Photographer A: Main stage, speakers, panels
  • Photographer B: Networking, candids, sponsor activations
  • Photographer C: Detail shots, venue, branding, food

Each photographer uploads to their own folder within the Collection. This keeps imports organized and makes it easy to cull by shooter.

Quick Turnaround Workflow

For next-morning delivery:

  1. Cull on-site during downtime. Star your selects in-camera or on your laptop.
  2. Batch edit using presets for consistency across all photographers.
  3. Upload edited images to a Collection in Gallery mode.
  4. Use creavio's AI analysis to auto-tag images with subjects and keywords.
  5. Send the gallery link before the client's team arrives at the office.

Large Gallery Organization

A corporate event gallery with 500-1,000 images needs structure. Organize into sections matching the event schedule:

  • Pre-Event / Setup
  • Registration / Arrivals
  • Keynote / Main Stage
  • Breakout Sessions
  • Networking / Cocktails
  • Awards / Recognition
  • Entertainment / After-Party

Sections let the marketing team quickly find what they need. See large gallery management for more tips.

Download Settings for Corporate Clients

Corporate clients need flexibility:

  • Individual downloads: Marketing teams cherry-pick specific images for press releases and social posts
  • Bulk download: For archiving the full set internally
  • Web-optimized versions: Pre-sized for social media and email marketing
  • Full resolution: For print materials and large displays

Provide both web and full resolution options. Let the client grab what they need for each use case.

Usage Rights and Licensing

Corporate events often involve specific usage requirements. Define these in the contract before the event:

  • Internal use only vs. external marketing
  • Duration of license (perpetual vs. 1 year)
  • Geographic scope
  • Whether they can share with sponsors, speakers, or attendees

See usage rights and licensing for detailed guidance.

Attendee Access

Some event organizers want attendees to access photos. Generate a public share link with view-only or download permissions. Share it via the event's post-event email or social media channels.

For branded events, customize the gallery appearance with the event logo and colors using gallery design customization.

Annual Event Contracts

If you photograph the same conference or gala annually, propose a multi-year agreement with locked pricing. Tag the client as "Corporate Events" in your CRM and set an annual reminder 3 months before the event date.
